Who we are

WorkNest ("we", "us") provides workforce management software for residential building staff, available at worknestpro.com. This policy explains what information we collect, how we use it, and the choices you have.

Information we collect

Account information. Name, email address, and role when you or your building administrator creates an account.

Employee records. Building administrators may store staff information needed to manage schedules and leave: name, contact details, address, emergency contacts, shift and role assignments, leave history, and training records. This information is entered and controlled by your building's administrators.

Billing information. Payments are processed by Stripe. We never see or store full card numbers; we retain only the subscription status and a customer reference.

Usage information. Basic technical logs (such as access times and approximate device information) used to keep the service secure and reliable.

How we use information

We use this information solely to provide the service: managing schedules, processing leave requests, sending notifications you request (such as open-shift alerts), processing subscription payments, and providing support. We do not sell personal information, and we do not use it for third-party advertising.

Text message (SMS) notifications

Staff may choose to receive text message notifications about open shifts available for coverage at their building. This is entirely optional. Opting in happens in the staff portal under Settings, by turning on "Text Message Notifications" — the setting is off by default and must be actively turned on by the employee. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. You can also turn the setting off at any time in the portal.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. Mobile numbers and opt-in consent are used solely to deliver the shift notifications described above. We share this information only with the messaging provider that delivers the texts on our behalf, and only for that purpose.

Who can see your information

Employee records are visible to the administrators of your building and, where relevant, to you through the staff portal. Staff in the same building may see limited schedule-related information (such as who is covering a shift). Data for one building is not visible to other buildings.

Service providers

We rely on a small number of processors to run the service: Base44 (application hosting and database), Stripe (payments), and email and text message delivery providers for notifications. Each processes data only on our instructions and may not use it for their own purposes.

Data retention and deletion

We keep records for as long as the building's account is active or as needed to comply with legal obligations. Administrators can edit or delete employee records at any time. To request deletion of your personal information, contact your building administrator or reach us through the contact page.

Security

Access to data is restricted by role-based permissions, and connections to the service are encrypted in transit. No system is perfectly secure, but we work to protect your information and will notify affected users of any breach as required by law.

Your rights

Depending on where you live, you may have rights to access, correct, or delete your personal information. Because most information in WorkNest is managed by your building's administrators, we may direct requests to them where appropriate. Contact us via the contact page to exercise these rights.

Changes

We may update this policy from time to time. Material changes will be reflected by the date above and, where appropriate, notified in the app.
